Office Manager

The Office Manager will be reporting to the Managing Partner and with the assistance and direction of accounting/bookkeeping staff. This is a full-time position. Responsibilities include:

Financial Management

  • Management of NSDA accounting software systems
  • Liaise with Partners for monthly client account maintenance, billings and file management
  • Accounts receivable collections and client liaison
  • Accounts payable and fie management
  • Management of sundry office expenditures
  • Reimbursements and record keeping for staff/Partner expenses
  • Maintenance of ongoing NSDA accounts including P&L statements, cash-flow projections, account receivable and payable reports, staff accrued liabilities, real-time company information, analysis of Partnership Capital Accounts and associated record keeping
  • Attendance and reporting at weekly Partners Meetings or as determined
  • Preparation and presentation of quarterly financial reports
  • Liaise with NSDA company accountants
  • Annual financial reporting
  • Bank deposits and banking records
  • Liaise with NSDA bankers
  • Familiarity with and file maintenance of NSDA Partnership agreement(s)

Human Resources

  • Reporting to the Partners, the maintenance of NSDA employment standards and core office policies
  • Management of employment contracts and records
  • Assist the Partners in briefing new employees
  • Management of employee time records and payroll
  • With assistance of Partners, the management of vacation requests and records
  • Management of, and participation with industry salary surveys

General Office Management

  • Familiarity with NSDA’s Organization and Management
  • Coordination with Managing Partner for administrative items to be included on meeting agendas
  • Familiarity with and, as may be required, assistance to Partners in connection with areas of responsibility “Portfolios”
  • Management of office premises leases and off-site storage
  • Liaison with landlord and building management
  • Manage and maintain records for office improvements and equipment inventories
  • NSDA general and professional liability insurance procurement
