Receptionist/Administrative Assistant

Position Overview

This position acts as the initial contact person for callers and guests and provides general office support. The successful candidate for this regular, full-time position will have outstanding customer service, organizational, and computer skills. They must be resourceful and able to learn on the fly, thrive in a multitasking environment, possess an upbeat personality, strong work ethic, and sunny disposition. Attention to detail is a must.

Key Responsibilities

  • Answering phones, taking messages, answering inquiries, conference calls
  • Greeting visitors and directing them to the appropriate person
  • Receiving, sending, and distributing all office mail & courier arrangements
  • Maintaining the boardrooms, including setup and clear before and after meetings, maintaining cleanliness
  • Coffee preparation, coordination of catering for meetings and general kitchen upkeep
  • Typing and formatting of letters, reports, spreadsheets and other documents; assist with miscellaneous copying/scanning and transmitting of documents
  • Administrative assistance to Partners
  • Troubleshooting and coordinating maintenance for office equipment
  • Digital project filing and project coordination through online project management platform
  • Archival filing both digital and physical at offsite storage facility
  • Event planning and coordination for seasonal parties and weekly events

Qualifications

  • Proficient in Microsoft Office with experience in document formatting and spreadsheets
  • Typing speed of at least 50wpm and experience with data entry
  • Previous experience with a multi-line switchboard phones
  • Detail oriented – consistently check processes and tasks for accuracy and completeness
  • High degree of client service, while prioritizing and balancing competing interests
  • Excellent command of English grammar, punctuation, and spelling, along with strong communication and interpersonal skills
  • Ability to self-motivate, flexible in performing multiple tasks, and has self-directed manner
  • Discretion with confidential matters
  • Willing to take on ad-hoc projects
  • Maturity, common sense, and loyalty
  • Completion of high-school diploma as well as post-secondary courses in Office Administration
  • Previous experience in a Receptionist/Admin Assistant role, or a combination of education, training, and experience in a related discipline
  • Class 5 driver’s license for moving archives offsite (owning vehicle not necessary)
  • Experience in an architectural or related professional office considered an asset
